How to Book a Tee Time in Fairway Control #
Fairway Control makes it simple and fast to book tee times for members, guests, and public players. This guide walks you through how to search for available times, apply player settings, assign carts or rentals, and complete the booking from the staff dashboard.
Overview #
Booking a tee time is one of the core features of Fairway Control. The booking system gives staff a full view of:
- Real-time tee sheet availability
- Player types (Member, Guest, Public, Corporate, Junior, etc.)
- Cart and rental inventory
- Pricing rules and member rates
- Restrictions and booking windows
- Event and maintenance blocks
This article explains how to book a tee time from the staff side.
1. Accessing the Tee Sheet #
- Log in to your Fairway Control dashboard.
- Click Tee Sheet in the left-hand menu.
- Choose the Course and Date (if your facility has multiple courses).
The tee sheet will display all available, pending, and blocked slots.
2. Selecting a Time Slot #
Each available tee time appears as a clickable tile.
To book a time: #
- Click the time slot you want (e.g., 8:12 AM).
- A booking window will open showing:
- Time & course
- Number of players
- Cart availability
- Pricing
- Player selection fields
If the time is unavailable due to an event, block, or maintenance, you will see a message explaining the restriction.

3. Adding Players to the Booking #
You can add 1–4 players (or more if your course supports groups).
Option A — Search for an Existing User #
- In the player field, start typing a name, email, or phone number.
- Select the correct user from the dropdown.
- Their membership status and rate category will auto-fill.
Option B — Add a New Guest #
- Click Add Guest.
- Enter:
- First and last name
- Email (optional)
- Phone (optional)
Option C — Add a Member Manually #
If a member is not found:
- Click Create Member
- Add member details
- Assign a plan
- Return to booking screen
4. Player Types and Pricing #
Based on the user selected, Fairway Control will automatically assign the correct pricing:
- Member
- Junior Member
- Corporate Member
- Public
- Guest of Member
- Twilight
- Promo pricing
- Tournament rate
Dynamic pricing rules and member discounts apply instantly.
5. Assigning Carts and Rentals #
If your course uses the Equipment & Inventory module, the booking window will show:
Cart Assignment #
- Toggle Cart Required ON/OFF
- Each added cart automatically deducts from inventory
- If no carts are available, the system will display “All carts are currently in use.”
Club Rentals / Equipment #
You can assign:
- Rental clubs
- Push carts
- Pull carts
- Range key
- Rental add-ons defined by your course
Each item reduces stock automatically.
6. Adding Notes and Flags #
You can add notes visible to staff:
- “VIP member—prepare club set”
- “First-time player—provide course overview”
- “Pace-of-play watch”
Notes stay attached to this tee time unless you mark them as recurring for future bookings.
7. Completing the Booking #
Once all players and options are selected:
- Review the booking summary
- Click Complete Booking
- Confirm:
- Time
- Players
- Carts
- Total charges
If payment is required upfront, you’ll see the payment screen.
After booking, the time slot updates on the tee sheet.
8. Booking Restrictions & Error Messages #
Fairway Control will notify you of anything that prevents a booking:
Common Alerts #
- “This time is blocked due to a club event.”
- “This time is unavailable — another staff member is editing it.”
- “Player is outside their membership booking window.”
- “Cart inventory exhausted.”
- “Membership payment failed — cannot book until dues are settled.”
Alerts are shown at the top of the booking window.
9. Editing or Moving a Booking #
To modify a tee time:
- Click the booked time on the tee sheet
- Select Edit Booking
- You can:
- Add or remove players
- Change player type
- Adjust carts
- Add notes
- Move to a new tee time (drag-and-drop if enabled)
Changes apply instantly.
10. Canceling a Booking #
- Click the booking
- Click Cancel Tee Time
- Choose:
- Cancel full group
- Cancel individual players
System will automatically return carts and rentals to inventory.
If your course enforces cancellation policies, the system:
- Applies fees
- Logs no-shows
- Sends cancellation emails automatically
11. Member & Guest Notifications #
After a booking is completed:
- Members receive a confirmation email
- If SMS notifications are activated, users get a text message
- Guests can receive optional confirmations if an email or phone is provided
Your course branding appears on all notifications.
12. Best Practices for Staff #
- Always search for a user before creating a new guest profile
- Add notes for complicated groups or repeat issues
- Double-check cart inventory on busy days
- Watch for duplicate bookings when a member has multiple family profiles
- Use drag-and-drop to optimize pace of play when groups back up
